Sense-Cloud Privacy Policy

Last updated: 26 October 2026

At Sense-Cloud, we attach great importance to the protection of personal data. We handle the information you share with us with care, in confidence and transparently.

In this privacy policy, we explain what personal data we process, why we do so, how we protect it and what rights you have under the General Data Protection Regulation (GDPR).

This privacy policy applies to the use of our website www.sense-cloud.nl and to the processing of personal data in the context of our commercial dealings and the provision of our services.

1. Who is responsible for processing your personal data?

Sense-Cloud is responsible for the processing of personal data insofar as we ourselves determine the purpose and means of the processing.

Organisation: Sense-Cloud
Website: www.sense-cloud.nl
Contact: www.sense-cloud.nl/contact/

The full legal business name, the registered office address and any other relevant business details must be included here.

When we process personal data on behalf of clients as part of software integrations, API connections or other technical solutions, we may act as a data processor. In such cases, the client in question is usually the data controller, and the arrangements between us are set out in a data processing agreement where necessary.

2. What personal data do we process?

Depending on your dealings with Sense-Cloud and the services you use, we may process the following personal data:

2.1 Contact and company details

  • First name and surname.
  • Company name and job title.
  • Business email address.
  • Telephone number.
  • Business contact details.
  • Information that you provide yourself via contact forms, email or other communication channels.

2.2 Data on applications and customer relationships

  • Information about your organisation and business processes.
  • Information about the software, applications and technical environments used.
  • Information on integration requirements and automation issues.
  • Correspondence, meeting minutes and agreements reached.
  • Quotations, contracts and invoicing details.

2.3 Technical data and website usage

  • IP address, insofar as this is processed.
  • Browser and device data.
  • Pages visited and interactions with our website.
  • Cookie preferences.
  • Technical log data necessary for the security and operation of our website.

The specific technical data that is actually collected depends on the structure of our website and the services used.

2.4 Data within our services

When developing, configuring, managing or supporting software integrations, Sense-Cloud may gain access to data in customers’ systems.

This could, for example, be data from ERP systems, financial applications, CRM systems or other business software.

Insofar as this data contains personal data, we process it exclusively within the scope of the agreed assignment, on the basis of the applicable arrangements and in accordance with the GDPR.

3. For what purposes do we process personal data?

We process personal data solely for specific, legitimate purposes, including:

  • Responding to enquiries and contact requests.
  • Preparing and submitting quotations.
  • Maintaining business relationships.
  • The implementation and administration of agreements.
  • Analysing and implementing software integrations and automation solutions.
  • Providing technical support and communication.
  • Carrying out administrative and financial duties.
  • To improve, maintain and secure our website and services.
  • Carrying out marketing activities, to the extent permitted by law.
  • Compliance with legal obligations.

We do not use personal data for purposes that are incompatible with the original reason for which it was collected, unless there is a valid legal basis for doing so.

4. On what legal grounds do we process personal data?

Sense-Cloud processes personal data only where there is a valid legal basis for doing so, as referred to in Article 6 of the GDPR.

4.1 Performance of a contract

Where processing is necessary for the performance of a contract with you or to take steps at your request prior to entering into a contract.

4.2 Legitimate interest

We may process personal data where this is necessary for a legitimate business interest and your interests, rights and freedoms do not override those interests.

This may, for example, relate to maintaining business contacts, securing our systems and improving our services.

4.3 Legal obligation

In certain cases, we are legally obliged to process or retain data, for example for our financial records.

4.4 Consent

Where consent is required – for example, for certain marketing activities or tracking cookies – we will ask for it in advance.

You may withdraw your consent at any time. This will not affect the lawfulness of any processing carried out prior to the withdrawal.

In the case of business contacts, we assess which legal basis applies on a case-by-case basis for each processing operation. The performance of a contract between Sense-Cloud and another organisation does not automatically constitute a contractual basis for the processing of the personal data of every employee of that organisation.

5. Do we share personal data with third parties?

Sense-Cloud does not sell personal data to third parties.

We may share personal data with third parties where this is necessary for our business operations, the provision of our services or to comply with legal obligations.

These could include, for example, the following categories of parties:

  • Hosting and infrastructure providers.
  • Providers of business email and communication services.
  • CRM and accounting software providers.
  • Technical service providers and IT partners.
  • Software suppliers involved in agreed integrations.
  • Government bodies where we are legally obliged to provide data.

Where a third party processes personal data on our behalf, we enter into a data processing agreement where required, setting out arrangements regarding, amongst other things, confidentiality, security and the processing of personal data.

Where an external party is independently responsible for the processing, that party’s relevant privacy terms and conditions apply.

6. Transfer of personal data outside the EEA

We aim to process personal data within the European Economic Area (EEA) as far as possible.

Where personal data is transferred to countries outside the EEA, we ensure that there is a valid legal basis for such transfers.

Depending on the situation, this may, for example, be done on the basis of an adequacy decision by the European Commission or by applying approved standard contractual clauses, supplemented where necessary by appropriate safeguards.

We assess, for each relevant processing operation, which safeguards are necessary.

7. How long do we retain personal data?

We do not retain personal data for longer than is necessary for the purposes for which it was collected, unless a statutory retention obligation or another valid legal basis justifies a longer retention period.

The retention period depends on the category of data and the purpose of the processing.

  • Enquiries: for as long as is necessary to deal with your enquiry and complete any follow-up.
  • Business contact details: as long as there is a relevant business relationship or a legitimate need for retention.
  • Quotations and contracts: for as long as is necessary for the fulfilment of agreements, administrative purposes and any legal obligations.
  • Financial administration: in principle, seven years, in accordance with the applicable tax retention requirements.
  • Technical data and log files: for as long as is necessary for the security, maintenance and operation of our systems.
  • Data that we process on behalf of customers: in accordance with the relevant agreement and the instructions of the data controller.

Where possible, we apply specific retention periods or pre-defined criteria to determine when data is to be deleted or anonymised.

8. How do we protect personal data?

Sense-Cloud takes appropriate technical and organisational measures to protect personal data against loss, unauthorised access, unauthorised alteration and unlawful processing.

Depending on the nature and risks associated with the processing, these measures may include, amongst other things:

  • Secure connections and encryption.
  • Access control and authorisation management.
  • Restriction of access to authorised staff.
  • Security updates and technical maintenance.
  • Backup and recovery facilities.
  • Confidentiality agreements with staff and external service providers.
  • Procedures for identifying and handling security incidents.

The measures actually implemented are tailored to the nature of the processing and the associated risks.

9. Cookies and similar technologies

Our website may use cookies and similar technologies to ensure the website functions properly, to gain an understanding of how it is used and, where you give your consent, to support marketing activities.

For cookies that require consent, we will ask for your consent in advance.

You can change your cookie preferences at any time or withdraw the consent you have previously given.

You can find more information in our cookie policy.

10. Marketing and business communication

Sense-Cloud may use business contact details to communicate about our services, relevant developments and commercial opportunities.

In doing so, we take into account the applicable privacy regulations and rules on electronic commercial communications.

Where prior consent is required for the sending of commercial messages, we will seek this consent before sending such messages.

You can unsubscribe from commercial email communications at any time by using the unsubscribe option provided or by contacting us.

11. Automated decision-making and profiling

As part of its routine website and customer contact processing activities, Sense-Cloud does not make any decisions based solely on automated processing that have legal effects on individuals or otherwise significantly affect them.

Where we use such forms of automated decision-making in the future, we will inform the data subjects concerned in accordance with the GDPR.

12. Your rights under the GDPR

When Sense-Cloud, as the data controller, processes your personal data, you have various rights under the GDPR.

Depending on the circumstances, you can make use of:

  • Right of access: You can request details of the personal data we process about you.
  • Right to rectification: You can have any incorrect or incomplete information corrected.
  • Right to erasure: Under certain conditions, you may request that your data be deleted.
  • Right to restriction: In certain situations, you may request that the processing be temporarily restricted.
  • Right to portability: You may request the transfer of your data in accordance with the statutory conditions.
  • Right to object: You may object to processing based on a legitimate interest. You may object to processing for direct marketing purposes at any time.
  • Right to withdraw consent: Where processing is based on consent, you may withdraw that consent at any time.

You can submit a request via our contact page.

In principle, we will respond within one month of receiving your request. Where a request is complex or where several requests have been submitted, this time limit may be extended in accordance with the provisions of the GDPR. We will inform you of this in good time.

To prevent misuse, we may ask you to provide further information where this is necessary to verify your identity.

13. Complaints to the Dutch Data Protection Authority

Do you have any questions or complaints about the way in which we process personal data? If so, please contact us first so that we can look into your question or complaint.

In addition, you have the right to lodge a complaint with the Dutch Data Protection Authority, the Dutch supervisory authority responsible for data protection.

Further information can be found at www.autoriteitpersoonsgegevens.nl.

14. Links to external websites

Our website may contain links to third-party websites and services.

Sense-Cloud is not responsible for the way in which these external parties process personal data.

We advise you to consult the privacy policy of the relevant party before providing any personal data.

15. Changes to this privacy policy

Sense-Cloud may amend this privacy policy should our services, business processes, technologies used or applicable laws and regulations change.

The most recent version is published on our website, stating the date on which the policy was last updated.

Where changes give rise to such a need, we will provide further information to those concerned or seek their consent again where this is required by law.
